Accounting Integrations & Troubleshooting
This article helps you to understand the options available for accounting software integrations and how to troubleshoot common issues.
Overview
Connecting your Capital on Tap account with accounting software can help you manage your business finances more efficiently. We offer both Live Feed integrations, which automatically sync your transactions, and the ability to manually export transactions for upload. The whole credit account & all cards will sync via the integration.
Connecting your Capital on Tap account
You have two options for integrating your Capital on Tap account with your chosen accounting software:
- Manual export transactions: You can manually export your transactions as a CSV file that is compatible with your accounting software. This file includes a notes column with any notes you’ve added to transactions. You also have the option to include receipts, which will be downloaded in a zip file along with the CSV.
- UK customers can export to: Sage, Xero, QuickBooks, and FreeAgent.
- US customers can export to: QuickBooks and Xero.
- Connect via Live Feed: A Live Feed automatically adds your transactions to your accounting software without the need for manual import and export. The feed refreshes overnight. You can connect to: QuickBooks Xero, Sage, and FreeAgent. This option does not allow you to include receipts against the transactions.
Connecting your Capital on Tap Instant Savings account
You can connect your Savings account directly to Xero, Sage, and FreeAgent. It is not currently possible to connect Savings accounts to QuickBooks.
If you were linking your Business Credit Card to your accounting software before this became available, you’ll need to simply disconnect and reconnect your software via your online portal to add your Savings account.
How to troubleshoot common issues
QuickBooks
Connect your account to QuickBooks
Follow these quick steps to connect your accounts.
1 Create a new QuickBooks account or log in with your existing one.
2 Follow the steps on the QuickBooks help page to link your Capital on Tap account to your QuickBooks.
3 Sit back, your transactions will now automatically sync to QuickBooks overnight!
- I receive an Error 103 when trying to connect with QuickBooks. This error is generated by QuickBooks when it thinks the login is spam. Please contact QuickBooks support directly to resolve this.
- My account says QuickBooks is connected, but my overnight transactions haven’t synchronized. You need to wait up to 24 hours for the overnight sync to complete. If it still doesn’t work, disconnect and reconnect your accounts.
- I’m having trouble downloading a CSV file. If you're using Google Chrome, try downloading the file in an Incognito window to see if that resolves the issue.
- Important: The 'Self-Employed' plan on QuickBooks does not support full integrations with third-party apps, so customers on this plan can only use the 'Manual export' feature.
Xero
- My transactions have not synced. Disconnect and reconnect your Xero account through the Accounting page in your Capital on Tap portal. Then, allow up to 24 hours for the overnight sync to take place.
- My balance in Xero is different from my balance in the Capital on Tap portal. This can happen because we only send up to three months of historical transactions when you connect. If you had a balance before your first synced transaction, you will need to manually adjust your opening balance in Xero.
FreeAgent
- My transactions have not synced. Disconnect and reconnect your FreeAgent account via the Accounting page in your Capital on Tap portal. You should also sign out and back into both your Capital on Tap account and your accounting software account. Then, allow up to 24 hours for the overnight sync to take place.
FAQs
What is the difference between a live feed and a manual export?
A live feed automatically syncs your transactions to your accounting software overnight, while a manual export is when you download a CSV file of your transactions to upload into your software yourself.
Why are my balances in Xero and the portal different?
If your Xero balance does not match your Capital on Tap portal balance, it's likely because you had a running balance on your account before the first three months of historical data were synced. You will need to manually adjust your opening balance in Xero to what it was at the time of your first synced transaction.
What should a customer do if they can't connect to QuickBooks?
You should make sure you are using the unique, one-time username and password generated from the
Accounting tab in your Capital on Tap portal. If you receive an Error 103, you should contact QuickBooks support.
Adding Receipts to Transactions
You can add up to 4 receipts to each transaction. To do this, simply go to your transactions page and find the transaction you wish to add receipts to, click on it and you should be able to add on up to 4 images.
Why isn’t my transaction showing?
Transactions will not show on your live feed until they are cleared. After this, transactions will sync the following business day. If your transaction was more than one business day ago, please contact Customer Services for support.
